Scorlar Education Labs operates the Scorlar education platform. This policy explains how we collect, use, and protect your personal data in accordance with the Ghana Data Protection Act, 2012 (Act 843).
Introduction
Scorlar Education Labs ("we", "us", "our") operates the Scorlar platform, an AI-powered education service designed for Ghanaian schools, teachers, and students. By accessing or using Scorlar, you agree to the collection and use of information as described in this policy.
This policy applies to all users of the Scorlar web platform, including school administrators, teachers, and students. It covers data collected through scorlar.com and any associated services.
Data We Collect
We collect the following categories of personal data:
Account Information
Full name, email address, phone number, and password (stored as a one-way hash). For school accounts: school name, address, and subscription details.
Educational Data
Student performance records, quiz scores, lesson progress, topic progress, exam-practice attempt records, assignment submissions, and grade information. For pre-tertiary students, this data is linked to the school account that manages the student. For tertiary students, this data is linked solely to your personal account.
User-Uploaded Course Documents
Tertiary users may upload course documents (PDFs, slides, notes) to support AI-generated study features. We store the original file, extracted text content, and vector embeddings derived from that text. These are accessible only to you and are not shared with other users or institutions.
AI Interaction Data
Queries submitted to our RAG (Retrieval-Augmented Generation) system for curriculum retrieval and lesson plan generation. Voice session data processed through LiveKit for teacher-led lessons.
Payment Data
Subscription and payment information is processed by Paystack. We store transaction references and payment status only — we do not store full card numbers or mobile money credentials.
Usage Data
Browser type, IP address, pages visited, and feature usage patterns collected through standard server logs and session data.
How We Use Data
We use your data to:
- Provide and personalise lesson content, quizzes, and study materials aligned to the Ghanaian curriculum
- Generate AI-assisted lesson plans and quiz questions for teachers
- Generate exam-practice questions and topic feedback for tertiary students using uploaded course documents
- Track and display student progress (lessons, topics, exam attempts) to the student, their teachers, and school administrators
- Process and store uploaded course documents to enable RAG-grounded AI study features for tertiary users
- Process subscription payments and manage school and individual accounts
- Send service notifications (account verification, password resets, subscription alerts)
- Improve platform reliability and diagnose technical issues
- Comply with legal obligations under Ghanaian law
We do not use student data for advertising or sell it to third parties.
AI Processing
Scorlar uses a RAG (Retrieval-Augmented Generation) system that retrieves content from pre-ingested Ghanaian curriculum documents. Queries you submit (such as lesson plan prompts or exam-practice requests) are processed by our AI infrastructure and may be sent to large language model (LLM) providers for generation.
For tertiary users who upload course documents, the document content is sent to a document parser service for text extraction and then to an embedding model to generate vector representations. These vectors are stored in our database and used solely to retrieve relevant context when generating exam-practice questions and study materials for your course.
We do not use your data to train AI models. Queries and document content are processed in real time and are not retained by LLM or embedding providers for model training purposes under our service agreements.
Voice data for teacher-led sessions is streamed via LiveKit and is not permanently stored by Scorlar.
Student Data Protections
Student accounts are created under a school account. The school acts as the data controller for its students, and Scorlar acts as a data processor on behalf of the school.
For students under 18 years of age, we require that parental or guardian consent be obtained by the school before the student account is activated. Schools are responsible for obtaining and maintaining this consent.
Student performance data is accessible only to the student themselves, their enrolled teachers, and their school administrator. It is not shared with other schools or made publicly accessible.
Storage & Security
Your data is stored on secure servers with encryption at rest and in transit (TLS). Passwords are hashed using bcrypt and never stored in plain text.
We retain your account data for as long as your account is active. School accounts that cancel their subscription retain access to data for a 30-day grace period, after which data may be deleted upon request.
In the event of a data breach that affects your rights, we will notify affected users within 72 hours of becoming aware, as required by the Ghana Data Protection Act.
Your Rights
Under the Ghana Data Protection Act, 2012, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate personal data
- Request deletion of your personal data
- Export your data in a portable format
- Object to processing of your data in certain circumstances
- Lodge a complaint with the Data Protection Commission of Ghana
